SECTION 2 — Information We Collect

Identifiers Collected: We collect identifiers needed to authenticate you, provision your license, and operate ICON OS. This may include your Google account email address, your name (first and last), company name (if provided), internal user identifiers (User UID), license identifiers (License UID / User License UID), the Google Sheet ID associated with your licensed instance, and service authentication tokens and related status/timestamps.
Billing and Transaction Data Collected: If you purchase ICON OS, we collect billing and transaction data necessary to process your order and maintain purchase records. This may include billing and customer email addresses, billing address (street, city, state/province, postal code, country), transaction amount, product identifiers, and payment processor identifiers such as Stripe Customer ID and Charge ID. We do not store full payment card numbers.
Usage and Log Data Collected: We collect operational and diagnostic data to run, secure, and improve ICON OS. This may include timestamps, step execution status, error messages/codes, integration connectivity results, license activation events, and service health signals. Where practical, we mask or redact sensitive values (such as tokens) in logs.
User Content Collected: ICON OS stores and processes the content you create and manage in the Service, including ideas, drafts, POVs, scripts/captions, hashtags, content plans, and workflow metadata. It may also store media file metadata linked to your Dropbox folders and import social performance metrics through enabled integrations (such as Metricool).
Sensitive Data Stance: ICON OS is not intended for collecting sensitive personal information (such as government IDs, health data, precise geolocation, or payment card numbers). Please do not submit sensitive data through the Service. If we become aware that sensitive data has been submitted, we will take reasonable steps to delete it or minimize its storage and use, unless we are required to retain it by law.
Phone Number and SMS Data Collected: If you provide your phone number
and opt in to SMS communications, we collect your mobile phone number
and records of SMS messages sent to you (such as delivery status and
opt-in/opt-out status). We use this information to send appointment
reminders, account notifications, and promotional messages you have
consented to receive.


SECTION 3 — How We Use Information

Service Operation and Delivery: We use your information to provide, operate, and maintain ICON OS as a content planning and social media management application built on Google Workspace, including storing your workflows and generating outputs within your Google Sheets environment.
Authentication, Licensing, and Fraud Prevention: We use identifiers and license information to verify your entitlement to use ICON OS, activate and bind your licensed instance, validate tokens, prevent unauthorized sharing, and detect or prevent fraud or abuse.
Payments and Accounting: We use billing and transaction data to process purchases, maintain transaction records, support refunds/disputes, and comply with accounting, tax, and legal obligations. Payment card details are handled by our payment processor and are not stored by ICON OS.
Customer Support: We use contact and account information to respond to support requests, troubleshoot issues, and communicate with you about service-related matters (such as activation failures, licensing problems, or integration connectivity).
Debugging and Product Improvement: We use operational logs and diagnostic information to monitor service health, investigate errors, improve reliability, and enhance features and workflows.
Analytics (Tools Used, If Any): ICON OS uses performance metrics as a core product feature (for example, importing social performance data and calculating scores). We do not use separate advertising analytics trackers inside the product beyond operational logging used to run and secure the Service.
Marketing Communications (If Any) and Opt-Out Method: We may send you transactional or service-related communications (for example, activation confirmations, system alerts, or support responses). We do not send marketing emails unless you opt in, and you may opt out at any time by using the unsubscribe mechanism provided or by contacting us.

SECTION 4 — AI and Automated Processing

AI Processing Description: If you enable AI features, ICON OS sends portions of your inputs (such as prompts, ideas, POV drafts, and writing instructions) to an AI provider (such as OpenAI) to generate or classify content for you. ICON OS may also send and receive data from enabled integrations (such as Metricool for performance metrics and scheduling confirmation, and Make.com for workflow automation). Licensing requests may be sent to our internal licensing service (ARIA VLT) to validate activation and access.
Model Training Stance: We do not use your User Content or Outputs to train our own machine learning models. We send data to AI providers only to perform the requested processing and operate the Service.
Third-Party AI Provider Policy Note: Yes. When you use AI features, the third-party AI provider processes the data you submit, and their terms and policies may govern how they handle that data.


SECTION 5 — Sharing and Disclosure

Subprocessors: We only share information with third parties as necessary to provide, operate, or improve ICON OS functionality. We do not sell, rent, or share Google user data for advertising or unrelated purposes. We may share information with service providers and subprocessors that help us operate ICON OS, such as: (a) Google (Google Sheets, Google Apps Script infrastructure), (b) Stripe (payment processing), (c) OpenAI (AI processing, when enabled), (d) Metricool (social analytics/scheduling, when enabled), (e) Make.com (automation/webhooks, when enabled), (f) Dropbox (media files), (g) GoHighLevel / Twilio (SMS messaging platform).
Disclosures for Legal Reasons: We may disclose information if we believe disclosure is required by law, regulation, legal process, or governmental request, or when necessary to protect the rights, safety, and security of ICON OS, our users, and the public.
Business Transfers: If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, your information may be transferred as part of that transaction. We will take reasonable steps to ensure the transferee honors this Privacy Policy or provides notice of materially different practices.
Subprocessors List URL: Not currently provided. If we publish a subprocessors list in the future, we will make it available on our website.

In-Product Tracking/Analytics: ICON OS does not use third-party advertising trackers inside the product. Operational logging is used to run and secure the Service, and performance metrics are used as a core feature (for example, importing social metrics and computing scores).
Tools Used: Operational logging via Google Apps Script and Google Cloud Logging. If a marketing site uses analytics tools, those will be disclosed on the site.
Consent Banner / Preferences: TBD. If our website uses non-essential cookies and you are in a jurisdiction that requires consent, we will provide a cookie banner or preference controls as required by law.


SECTION 7 — Data Retention and Deletion

Log Retention Period: Operational logs are retained according to Google Cloud Logging and Google Apps Script retention policies, unless configured otherwise.
Billing Record Retention Period: We retain billing and transaction records for as long as necessary for legitimate business purposes and legal/accounting requirements.
User Content Retention Period: Your content and workflows remain in your Google Sheets until you modify or delete them.
Deletion Method: You can delete your data by deleting rows or deleting your ICON OS spreadsheet and associated Dropbox folders. You can also revoke ICON OS’s access at any time through your Google Account permissions settings. For help, you may contact us at [email protected].
Backup Retention: Not specified. If backups exist, they are retained for a limited period and used only for disaster recovery and security purposes.


SECTION 8 — Your Rights and Choices

US Baseline Rights Statement: You can access, correct, export, or delete your data directly in your Google Sheets. You can revoke the Service’s access to your Google account at any time via your Google Account permissions.

SECTION 14 — Notes and Edge Cases

Vault Separation / Private Sheet Posture / Other Special Notes: ICON OS is designed so that your content and workflow data primarily reside within your own Google account (Google Sheets). Our internal licensing system (ARIA VLT) is kept private and is used to validate licenses and manage activation. Users do not receive direct access to the ARIA VLT vault.
